Success Criteria

The goal is to implement a simple, Teams-first desk booking experience that integrates seamlessly with Microsoft 365 and makes it easy for employees to reserve and check into flex desks without adding friction. The solution should support your initial rollout of 4–6 desks while giving you a scalable path to expand across locations and eventually replace Joan for room booking when the time is right.

What we heard
‍

Currently using Joan for conference rooms under a 2-year agreement; exploring alternatives for future replacement due to pricing changes.
Immediate need is desk booking for 4–6 new flex desks, with potential to expand as hybrid usage increases.
Strong preference for Microsoft 365 integration, especially full functionality within Microsoft Teams.
Users are unlikely to adopt a separate mobile app, so Teams and QR-based check-in will be important workflows.
Ability to configure desk amenities (monitor, USB-C, etc.) and filter by those features is valuable.
Decision expected after leadership review this week, with a goal of onboarding within the next few weeks if moving forward.
