Overview
The University of Guelph's Experiential Learning Hub supports a workplace that has to work for more than one kind of activity. Staff need places to focus, colleagues need rooms to meet, and the team coordinates spaces and resources connected to its work with employers, students, and visitors.
Rather than force those needs into a generic booking process, the University worked with Tactic to create a visual, flexible experience that reflects how its spaces are actually used.
The challenge
A campus career centre workplace is not a standard office. The Experiential Learning Hub needed to coordinate a mix of staff workspaces, advising spaces, meeting rooms, parking, and shared resources while keeping the experience simple for the people making reservations.
Accuracy mattered. Room names and labels needed to match the language employees already used. The floor plan had to reflect real spaces, not generic placeholders. Administrators also needed enough visibility and control to support bookings made for different groups without turning every reservation into a manual task.
A booking experience built around the real workplace
Tactic gave the Experiential Learning Hub a shared visual layer for its workplace. Instead of choosing a resource from an abstract list, users can see the available environment and reserve the desk, room, parking space, or shared resource that fits their needs.
During implementation, the University and Tactic worked through the details that make a system useful in practice: accurate floor-plan labels, the right names for advising and meeting spaces, clear resource information, and a configuration that matched the team's operating model.
University single sign-on was configured so users could access Tactic with their existing credentials. That reduced friction for employees while giving administrators a familiar, controlled way to manage access.
Sustained use, not just a successful launch
The strongest sign that a workplace tool is working is that people continue to use it.
Those figures show a workflow that has become part of regular operations. The relationship has also renewed and expanded over time, while the configuration has continued to adapt to changing space and departmental needs.
